Who processes your data
The data controller is EVOCOM SRL, Rue de Saint-Paul 11, 1457 Walhain, Belgium, registered with the Crossroads Bank for Enterprises under number BE 0873.155.495. Axivox is the trade name under which Evocom publishes its telephony service.

We have not appointed a data protection officer. Requests sent to the address above are handled by management.
What we collect
The contact form
Present at the bottom of every page, it collects your full name, your company name, your work e-mail address, your phone number if you provide it, the extension range you indicate, your message if there is one, and the page you sent the request from.
The quote request
More detailed, because it's used to calculate a price. It includes the fields above plus your role, your company's postal address, the number of simultaneous calls you want, your monthly incoming and outgoing call volumes, your main call destinations and the countries of the numbers you want.
The live chat
It collects what you write, the language of the exchange, its date, and the contact details you choose to give over the course of the conversation.
The e-mails you send us
If you write to one of our commercial addresses, your message, your address and any contact details it contains are recorded in our sales-tracking tool, the same way a form submission would be.
You are not required to provide us with any of this data. But without it we can't respond to your request, or work out a price.

Who can access it
Within Evocom, your data is accessible to the sales and technical staff who handle your request.
Outside Evocom, we use two providers, and only two:
- Odoo S.A., the Belgian publisher of the business management software your request is recorded in. It acts as a processor, on our instructions alone.
- Anthropic PBC, in the United States, which publishes the language model used by the live chat. Your messages are sent to it to produce the reply.
Everything else runs on our own infrastructure. The site, the relay that records form submissions, our internal sales-tracking tool, our mail server and the tool that counts visits are hosted on our own infrastructure. No third-party host, no ad network, no statistics handed to a third party.
A transfer outside the European Union
Live chat messages are sent to Anthropic, which is headquartered in the United States. This transfer is governed by the European Commission's standard contractual clauses, provided for in Anthropic's terms of service. If you'd rather avoid this transfer, use the form or write to us: both of those paths stay entirely on our own infrastructure.
No data from your phone installation ever passes through the live chat. It's a tool of the marketing site, separate from the calling platform.

What a machine does with your request
Requests that reach us are automatically sorted by an artificial intelligence tool: it works out the need, suggests where to route it, and can draft a first reply. We're telling you this because it's true, and because you have the right to know.
This sorting produces no automated decision within the meaning of the regulation: it neither grants nor refuses you anything. A member of our team remains responsible for how your request is followed up, and you can ask to speak with them directly at any time.
Form protection, and your IP addresses
The forms on this site are protected against automated submissions. This protection processes your IP address: it's used to count submissions over a short period, and for nothing else. It is never resold, never cross-referenced with an advertising profile, and never kept beyond the counting window.
We also check that your e-mail address's domain is able to receive mail. This check queries the domain name system, never the mailbox itself, and keeps nothing.
What you can demand from us
You have the right, over data concerning you, to request access, rectification, erasure, restriction of processing, portability, and the right to object to processing based on our legitimate interest.
Where processing relies on your consent, you can withdraw it at any time. Withdrawing it doesn't affect what was done before.
One address covers all of this: privacy@axivox.com. We reply within a month. If we need to verify your identity before replying, we'll ask you to.
If our reply doesn't satisfy you, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, contact@apd-gba.be.
Cookies: exactly one, and only if you chat
This site places no advertising tracker. No ad network, no tracking pixel, no statistics handed to a third party. Browsing the site places nothing on your device.
We count visits with Umami, open-source software installed on our own servers. It sets no cookie and keeps no identifier that would follow you from one visit to the next or from one site to another. It records the page viewed, the site that brought you here, the country, the type of device and browser, and the screen size. Your IP address is only used to derive the country and to group the pages of a single visit, through a technical fingerprint that is renewed regularly. It is not stored. These counts cannot identify you.
If you would rather not be counted, your browser can say so through the "Do Not Track" signal, which we honour, or you can decide it here. That choice is remembered by your browser, on this device only.
Exactly one cookie exists, and only if you start the live chat: it's called axv_visitor, and it's set the moment you send your first message, never just from loading a page. It only contains a randomly generated identifier, unrelated to your identity, whose sole purpose is to link your messages to your conversation when you come back. It can't be read by the page's JavaScript and is only ever sent to this site.
Because it's strictly necessary for the service you yourself requested, it doesn't require your prior consent. You can delete it at any time from your browser: the conversation will simply start over from scratch.

We may amend this page, for example if a provider changes or a new processing activity is added. The date below shows the last revision. Material changes will be flagged to you the next time you contact us.
